Booking Terms & Conditions

The following terms and conditions apply to all bookings for, and attendance for, and attendance at, Airtaxi & Drone World Congress events (“Events”).

Data Collection and Use Policy

Airtaxi & Drone World Congress reserves the right to collect and process personal data provided by individuals who subscribe to our newsletters or register for our events.

This information may be used to;

⦁ Send event updates and relevant information.
⦁ Manage Event registrations and attendance.
⦁ Provide personalised communications and exclusive offers tailored to Your interests.
⦁ Keep you informed about our activities and future Events.

We are committed to protecting personal information and handling all data in accordance with applicable data protection legislation, including the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

Personal information will not be sold to third parties.

Individuals may withdraw consent or opt out of marketing communications at any time by contacting us directly.

1. Definitions

The following words have the following meanings:

⦁ “Booking” means Your reservation to attend the event.
⦁ “Booking Form” means the online form completed to secure attendance at the Event.
⦁ “Conditions” means these terms and conditions together with any special conditions contained within the Booking Form.
⦁ “Contract” means the agreement between You and Us regarding attendance at the Event.
⦁ “Delegates” means the individuals registered to attend the Event on Your behalf.
⦁ “Event” means any conference, exhibition, networking event, demonstration day, flying display, air show, meeting or any other related activity organised by Us.
⦁ “Fees” means the total amount payable for attendance at the Event.
⦁ “Force Majure Event” means any event or circumstance beyond Our reasonable control that prevents or delays performance of Our obligations.
⦁ “Us”, “We”, “Our” means Airtaxi & Drone World Congress
⦁ “You”, “Your” means the individual or organisation entering into the Contract with Us.

The singular includes the plural and vice versa. Headings are for convenience only and do not affect interpretation.

2. Bookings

2.1. All bookings are made subject to these conditions.
2.2 By submitting the Booking Form, You confirm authority to bind Your organisation.
2.3. The Contract is formed once We confirm Your Booking by email.
2.4. We reserve the right to refuse or cancel any registration, booking, or delegate substitution at Our sole discretion.

3. Payment

3.1. Fees are payable in full on receipt of registration (or upon receipt of visa, if applicable).
3.2. A 25% non-refundable deposit may be required to process visa invitations; this is transferable to a future event, but not refundable.
3.3. Failure to pay Fees when due, may result in cancellation of registration and denial of entry to the event.
3.4. Registration Fees are non-refundable but may, at our discretion, be transferred to a future event, or another nominee by You prior to the event.

4. Event attendance

4.1. We organise Events in good faith, but accept no liability for:
⦁ Delegate non-attendance
⦁ One-to-one meetings that do not take place.
⦁ Omissions, inaccuracies or changes within Event materials, schedules or programmes.

4.2. We do not guarantee attendee numbers, exhibitor participation, speaker attendance or business outcomes arising from participation in the event.
4.3. Delegates remain solely responsible for arranging and paying for their own travel, accommodation, visas, insurance and related costs.
4.4. We are not responsible for services provided by third parties, including airlines, hotels, transport providers, venues or contractors.
4.5. We may contact Delegates by telephone, email, SMS, WhatsApp or similar communication channels for operational Event communications.

5. Data Protection & GDPR

5.1. We process personal data in accordance with the UK GDPR, the Data Protection Act 2018 and any other applicable data protection legislation.
5.2. Personal data collected during registration may be used for:
⦁ Managing Event attendance and administration.
⦁ Providing Event updates and operational communications.
⦁ Facilitating networking opportunities where appropriate.
⦁ Informing attendees about future Airtaxi & Drone World Congress Events and activities.

5.3. We will only process personal data where a lawful basis exists and will retain information only for as long as reasonably necessary for legitimate business, operational and legal purposes.
5.4. Attendees have the right to request access to, correction of, restriction of processing of, or deletion of their personal data, subject to applicable legal requirements.
5.5. Attendees may withdraw consent to marketing communications at any time by contacting Us directly.

6. Photography, Video & Media

6.1. Photography, audio and video recording may take place throughout the Event.
6.2. By attending the Event, Delegates acknowledge and agree that photographs, video recordings, livestreams and other media may capture their image, likeness, voice or participation.
6.3. Delegates grant Airtaxi & Drone World Congress the irrevocable right to use, reproduce, publish, distribute, and display such media for promotional, marketing, editorial, commercial and archival purposes worldwide and in any format.
6.4. Delegates who do not wish to appear in photographs or recordings must notify Us in writing before the Event and identify themselves to Event staff upon arrival. Whilst reasonable efforts will be made to accommodate such requests, We cannot guarantee exclusion from incidental or crowd photography.
6.5. No compensation or royalties shall be payable in connection with the use of any photographs, recordings or media featuring Delegates.

7. Cancellation & Event Changes

7.1. All Delegate cancellations are non-refundable.
7.2. If We cancel or postpone the event, We may offer a credit towards a future Event or transfer registrations to a rescheduled Event at Our discretion.
7.3. We reserve the right to change the Event venue, location, date, programme, speakers, format or schedule where necessary.
7.4. Delegates are advised not to make non-refundable travel or accommodation arrangements until Event details have been confirmed.
7.5. Live demonstrations, flying displays, air shows or outdoor activities may be amended, delayed or cancelled due to safety considerations, weather, operational issues, regulatory requirements or Force Majeure Events.
7.6. No refunds, compensation or reimbursement of travel, accommodation or related expenses will be provided as a result of such changes.
7.7. We accept no liability for travel disruption, delays, cancellations, strikes, weather conditions, government restrictions or similar circumstances affecting attendance.

8. Force Majeure

8.1. We shall not be liable for any delay, postponement, alteration or cancellation of an Event arising from a Force Majeure Event.
8.2. Force Majeure Events include but are not limited to; fire, flood, earthquake, epidemic or pandemic, war, terrorism, civil unrest, government action or restrictions, transport disruption, supplier failure, utility failures, severe weather and any other circumstance beyond Our reasonable control.
8.3. In such circumstances, We reserve the right to postpone, reschedule, relocate or cancel the Event without liability.

9. General

9.1. You may not transfer or assign any rights under this Contract without Our prior written consent.
9.2. These Conditions shall be governed by and construed in accordance with the laws of England and Wales.
9.3. The courts of England and Wales shall have exclusive jurisdiction over any dispute arising from these Conditions or the Event.
9.4. If any provision of these Conditions is found to be invalid or unenforceable, the remaining provisions shall remain in full force and effect.
9.5. Nothing in these Conditions creates rights for any third party under the Contracts (Rights of Third Parties) Act 1999.
